Payment and Cancellation Policy
Overview
At Escapade On Wheels, we aim to make the booking process smooth and transparent for our guests. Please review our payment policy to understand the terms and conditions for securing your booking:
Booking Confirmation
- To confirm your booking, advance payment of 30% of the total trip cost is required at the time of booking.
- For trips that include international flights, travel insurance, or other non-refundable components, the advance amount may vary based on the requirement of the client.
Payment Schedule
- 30% Advance Payment: At the time of booking to secure your spot and initiate the arrangements.
- 50% of the Trip Cost: To be paid 30 days before the departure date.
- Remaining 20% Balance: To be paid 15 days before the departure date.
Late Bookings
For bookings made within 15 days of the departure date, 100% of the trip cost must be paid upfront to confirm the reservation.
Methods of Payment
Payments can be made via:
- Bank transfer (details will be shared upon request)
- UPI or mobile payment apps
- Credit or debit cards (subject to applicable transaction fees)
Non-Payment and Cancellation
- Failure to complete payments as per the schedule will result in automatic cancellation of the booking, and any refund will follow the Cancellation Policy.
Additional Costs
- Any additional charges, such as currency conversion fees, transaction charges, or bank fees, will be borne by the guest.
Cancellation Charges
At Escapade On Wheels, we strive to offer flexible options while ensuring fair terms for both guests and the company. Please review our cancellation policy below to understand our terms and conditions for cancellations and refunds:
Cancellation by Guest
- 45 days or more before the departure date: 90% of the booking amount will be refunded.
- 30 to 44 days before the departure date: 70% of the booking amount will be refunded.
- 15 to 29 days before the departure date: 50% of the booking amount will be refunded.
- 14 days or less before the departure date: No refund will be provided.
Cancellation Due to Insufficient Group Size
- In cases where a trip is cancelled by Escapade On Wheels due to not reaching the minimum number of participants, guests will be provided the option of transfer to another trip or date with no additional charges.
Force Majeure or Unforeseen Circumstances
- In the event of cancellations due to natural disasters, pandemics, government restrictions, or other unforeseen circumstances beyond our control, Escapade On Wheels will work with guests to provide flexible options, which may include rescheduling the trip, credit for future travel, or partial refunds as applicable.
Refund Policy
- Note: Refund processing may take up to 10-14 business days from the date of cancellation (for domestic tours) and 25-30 business days from the date of cancellation (for international tours).
- Certain components of the booking, such as international flights, travel insurance, and some accommodation arrangements, may be non-refundable . Guests will be informed of such non-refundable elements at the time of booking.
